The opportunity for a PA/ Administrator has arisen within an established Research company. Providing administrative support to the team and managing the central repository for all documentation relating to the management of the IFM suppliers. Day to day administration and support to the IME Team including travel, expense submission, meeting coordination.

The ideal PA/ Administrator is responsible for the administrative support to the Integrated Facilities Management Centre of Expertise (IFM CoE), Maintenance CoE and Energy CoE, combined "IME". Manage and co-ordinate central governance calendar, ensuring all governance meetings across all IFM suppliers are scheduled and resource available.

Responsibilities:
Governance Calendar:

- Responsible for the central IFM Governance calendar, ensuring it is functioning and operating to enable IFM governance meetings to be organized centrally.
- Issue all governance meeting requests, coordinate resources (rooms, webex, equipment, etc.) and track attendance to ensure adherence to governance across supplier and Merck/ MSD organisations.

IFM Engagezone:

- Accountable for managing access to and security of the Global IFM Engagezone environment, adding, amending and deleting user access.
- Maintaining the structure of the Engagezone, creating, maintaining and deleting Apps and Folders to ensure the configuration of the repository enables effective and efficient document management.
- Support the IFM Governance CoE in ensuring the Engagezone workflow processes support the validation of IFM supplier performance as reflected in the IFM Scorecard.
- Ensure good housekeeping of Engagezone and SharePoint folders making sure that material is filed and archived in the correct place.

General Administrative Support:

- Support the IFM CoE in organizing, booking and claiming of travel and expenses.
- Assist the IFM CoE team with organizing and coordinating general meetings.
- Tracking of tasks to completion.
- Support day to day administrative tasks as directed by the IFM CoE.
- Managing the overall administration of the IME department.
- Add, extend end date, remove and maintain partner employees in Access Center.
- Develop excel spreadsheets as appropriate.
