We are seeking a Health & Safety Administrator to join our Central Health & Safety team, to manage to compliance of our Sub-Contractors and support the regional Health & Safety teams across the group. Responsibilities of the role: To maintain the Groups' Approved Contractors Database in line with the SMAS database/portal. Ensuring that all contractors approved are listed with required information. Provide summary information for Divisional Boards and Forums. To collate accident / incident information from site, including ensuring that all relevant documentation is available. To prepare site/sales Health and Safety Starter Packs on receipt of F10 Notification form from Divisional companies and maintain a record of issues. To ensure several starter packs are always available and adequate stocks of contents, including first aid items, for Starter Packs are maintained. To ensure that accurate records maintained daily of all items issued to Divisions that are re-chargeable are kept and sent to the Accounts Department quarterly for re-charging to relevant divisions. To receive and sort mail/ faxes/ emails and distribute to appropriate recipients. To ensure that the information held in the Group office's notice boards is kept current. To conduct monthly checks of the Fire Extinguishers and ensure that they are suitable and sufficient. To conduct weekly fire alarm checks To log all Action / Stop Notices and Unsafe Action Condition Reports, and pass to the Health & Safety Systems Coordinator for distribution. To file and record all responses once approved by the Group Health & Safety Manager. To record issues of Accident Books and record receipt of returned completed Accident/incident forms and ensure information is kept secure. To arrange archiving of Health and Safety documentation and maintain records of archived information. To assist in the organisation and control of the Department's library and ensure publications are amended and maintained up to date. To assist in the preparation of training pack information for all the various courses, including accredited training. To assist in the distribution of certificates following successful completion of courses. To maintain adequate and sufficient stocks of stationery and health and safety documents for the Department. To maintain adequate and sufficient stocks of First aid supplies and other consumables used within the Department. To carry out any other reasonable duties and instructions as delegated by the Health & Safety Systems Manager Desirable criteria: Passionate about customer service, housebuilding and construction. Experienced in an administrative position, in support of a team. Effective communicator with previous experience liaising with stakeholders of all levels. Keen to develop yourself professionally, and undergo appropriate training. Eagerness to be involved in multiple projects and assist the team with ongoing larger scale projects. Excellent written communication skills, with an ability to write letters and professional correspondence. Experience in Microsoft Office packages, including Excel, Powerpoint and Word.
